What your monthly owner statement should show you

Gross revenue per channel, platform fees, a clear management fee, receipted expenses and one settlement line: how to read a property manager statement.

If you hand your property to a manager, the monthly statement is how you know it’s working. It should answer three questions in under a minute: what did my home earn, what did it cost, and what lands in my account? Here’s what a good statement shows, using the format we send our own owners.

1. The headline numbers

  • Reservations and nights sold: how busy the home was.
  • Average nightly rate: what guests paid per night.
  • What you earned: the bottom line, after every fee and expense.

2. Gross revenue and platform fees, per channel

Airbnb, Booking.com and direct bookings each have different fees and pay out differently. A good statement shows each channel’s gross booking value, its fees, and the net that was paid out. If those three numbers don’t reconcile, ask why.

3. The management fee, clearly stated

Your manager’s fee should be a stated percentage of a stated base, so you can check it with a calculator. At Stayease it’s a percentage of the net income, shown as its own line.

4. Expenses, with receipts

A guest ran out of supplies? A tap needed a washer? Expenses paid on your behalf should be listed individually, with the date, the amount and a receipt you can see. No mystery “sundries” line.

5. The settlement: who pays whom

Some platforms pay owners directly; others pay the manager. A clear statement ends with one line:

Example: “We’ve deducted our R 1,204.07 fee and R 89.99 of expenses from the R 6,441.75 we collected for you, and the remaining R 5,147.69 is on its way to your account.”

6. Every booking, with proof

Each stay, with dates, nights and the amount paid out, and the platform payout statements attached so you can verify every figure.

7. What’s coming next

Bookings that started this month but pay out next month should be listed separately, so nothing is counted twice or forgotten.
